    The kinds of personal information we collect

    “Personal information” is information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether the information is true or not; and whether the information or opinion is recorded in a material form or not.

    "Sensitive personal information" includes information or opinion about an individual’s racial or ethnic origin, political opinion, religious beliefs, sexual orientation or criminal record, provided the information or opinion otherwise meets the definition of personal information.

    The kinds of personal information collected by Our Watch may include:

    • your name
    • company name
    • contact information (e.g. telephone number, email address and physical address)
    • occupation
    • age
    • date of birth
    • gender
    • internet protocol (IP) addresses
    • if making a donation (in addition to the above kinds of personal information), the amount you donated, method of payment for donations and payment history of any other donations
    • if applying for a job, (in addition to the above kinds of personal information), your application letter/selection criteria statement (if you provide them), your CV, referee contact details (if you supply them)
    • if we are hosting an event, any dietary requirements or accessibility requirements
    • sensitive information (including whether you identify as Aboriginal or Torres Strait Islander or as LGBTIQA+)

    Individuals who contact us or use our services have the option of requesting anonymity or using a pseudonym. However, it may not be reasonably practicable for us to deal with individuals anonymously or with a pseudonym if those individuals wish to engage our services; wish to obtain information in relation to our services; and make enquiries or complaints about our services. A request for anonymity or the use of a pseudonym may also be rejected if we are required under Australian law to deal with individuals who have identified themselves.

    Why we collect personal information

    We use and collect your personal information only as needed for the purposes of providing our services to you. These purposes include:

    • provide our services, including as training, education and consulting services
    • process any donations you may send us
    • improving and developing our services by conducting surveys
    • internal accounting and administration
    • administering and responding to enquiries, feedback or complaints
    • report on our activities, news and updates
    • report to education and government authorities
    • to satisfy any legal and regulatory obligations
    • hiring employees
    • reporting to funders
    • for any other purposes that would be reasonably expected

    We do not sell personal information.

    You can opt out of receiving marketing communications from us at any time by contacting us via the email address at the bottom of this page or by using opt-out facilities provided in the marketing communication and we will make sure you no longer receive marketing communications from us in the future.

    How we collect personal information

    We will collect personal information directly from you unless it is unreasonable or impracticable to do so.

    We collect your personal information when you:

    • visit and/or engage with our website
    • donate to our organisation
    • register for and/or attend our training, webinars, and events
    • correspond or communicate with us including over the telephone, or in any other manner such as in person or by letter, email or social media at any time

    We may also collect some information that is not personal information because it does not identify you or anyone else. For example, we may collect anonymous answers to surveys or aggregated information about how users use our website (see Cookies and Google Analytics).

    When you make a donation, the collection and storage of payment data is conducted through a secure third-party application called Stripe. We encourage you to review and understand Stripe’s Privacy Policy.

    If you apply for a job through our website, you will be directed to a secure third-party application called Employment Hero where we collect and store your personal information. The collection and storage of this data is conducted through Employment Hero. We encourage you to review and understand Employment Hero’s privacy policy.

    When you use our website, information from the Contact Us form is sent to SugarCRM for the purpose of creating a new website contact. We encourage you to review and understand Sugar CRM’s privacy policy.

    Please note our website contains links to other websites which are provided for your convenience. We are only responsible for the privacy practices and security of our website. We recommend that you check the privacy policies and procedures of other websites you visit.

    Cookies

    We use ‘cookies’ and other software tools to track your use of our website. Cookies are small pieces of information that are stored by your browser in your computer’s memory and they are used to record how you navigate our website on each visit. Using cookies helps us deliver a better website experience to you.

    Cookies and other tools that are used in any part of our website will be used for our internal management purposes, including collating statistics regarding website traffic. Most browsers automatically accept cookies and other online tools in common use, but you can usually change your browser to prevent cookies being stored and to reject other tools our site may use.

    Google Analytics

    We use Google Analytics to monitor traffic on our websites. The information generated by Google Analytics is used to create reports about the use of our website. Google will store this information on its own external servers.

    We use this information to determine how many people are visiting our website, which pages they look at and how long they look at certain pages for. These results do not identify users individually, and we do not use this data to identify you.

    Hotjar

    We use Hotjar to measure and observe user behaviour on our websites.

    We use this information to see what users do when they visit an Our Watch webpage, for example, what they click, tap and scroll through.

    These results do not identify users individually and we do not use this data to identify you.

    Social networking services

    Our Watch uses X, YouTube, Facebook, LinkedIn, SoundCloud, TikTok and Instagram to communicate with the public about its work and for direct marketing and advertising purposes. When you communicate with Our Watch using these services, Our Watch collects the personal information you provide to it by engaging in that communication.

    Disclosure of personal information

    We may disclose your personal information to undertake any of the purposes set out above, or where permitted or required by law. We will always ask you before we share your personal information for a secondary purpose, unless the Act or the APPs authorises or requires the use or disclosure.

    Recipients of your personal information may include:

    • Our employees, contractors or service providers, to the extent reasonably necessary for them to carry out their duties/obligations. This may include, website development agencies, payment processing agencies, IT systems administrators, couriers, payment processors, lawyers and business advisors.
    • Any person to whom we are required or permitted by law to disclose personal information. This may include government departments and funders, the Australian Police, Australian medical practitioner or regulators or similar, an ambulance service, or Government departments or regulators within Australia in connection with law enforcement activities and emergency services.

    Some of our third-party providers are located outside of Australia (United States and Ireland).

    Some third parties are located overseas. These countries will have laws relating to the protection use and disclosure of personal information that are different from those that apply in Australia. You may not be entitled to similar protections of your personal information available under Australian law under the laws of those countries.

    Security of your personal information

    We take all reasonable steps to protect all personal information held by us from misuse, loss, unauthorised access, modification or disclosure. All staff at Our Watch who have access to confidential information are subject to confidentiality obligations.

    When we no longer require your personal information or when you end your engagement with us, we will take reasonable steps in the circumstances to destroy your personal information or otherwise ensure that it has been de-identified.

    All reasonable steps are taken to ensure that all personal information is treated confidentially and kept secure against unauthorised use and is used or disclosed or both for the purpose for which it was collected. Please be aware that the internet is not a secure environment and when you provide us with information over the internet you do so at your own risk. No communication via the internet or web or mobile device is 100% secure.

    We cannot and do not take any responsibility for maintaining the security of your personal information on any other website or app linked with our website.     Access and correction of your personal information

    You have the right to access and review your personal information held by us free of any charge. Please direct all requests to our Privacy Officer in writing at the contact details below.

    Upon request, and within the parameters of the legislation, we will provide individuals with access to this information. We will use our best endeavours to provide you with the personal information that we hold within a reasonable timeframe.

    We ask that complaints about breaches of privacy be made in writing (by email or letter), so we can be sure about the details.

    Our Privacy Office will deal with the matter within a reasonable time, and will keep you informed of the progress of our investigation. If we have not responded to you within a reasonable time or if you feel that your complaint has not been resolved satisfactorily, you can contact us to discuss your concerns. After we have completed our enquiries, we will contact you to tell you the outcome and invite you to respond.
